Administrative Assistant

The position is a twelve-month contract under an outsourcing company. The successful candidate will work in Head Office, Jakarta.

Purpose of the Role:

To manage, organize and enhance the overall management property including facility management, office repair & maintenance. General affairs also responsible to oversee the travel management agency, cleaning manpower, residences, and office transportation; responsible for venue arrangement, accommodation arrangement, office supply, and other tasks as per business needs.

Accountabilities :

  • Manage company’s office in three different locations, from their daily operations, office maintenance, office supply, maintaining building and tenant relations and manage officer cleaner contractors and drivers.
  • Responsible for carrying out and manage contracts and vendors (e.g end to end tender process, vendor PIC, and contract control)
  • Manage company’s long-term lease residential units from day-to-day request of usage, pantry and other necessary supply and manage its contract.
  • Oversee travel agent implant to carry out day-to-day activity related to business travel, including accommodation.
  • Responsible for liaising with the Travel Agent’s representative regarding invoicing, issues related to the travel agent website, flight & hotel recapitulation for reporting purposes.
  • Responsible for monitoring and ensuring that staff comply with business travel regulations.
  • Responsible for liaising meeting/event venue, end-to-end process from proposal to invoicing.
  • Responsible to handle day to day office transportation operational and oversee Drivers assigned from the rental company.
  • Employee Engagement – working closely with HR to attain flower board arrangement for employees and their family for wedding celebration and funeral; fruit hampers for hospitalized employee, birthday cake for birthday celebration, and maternity hampers for employees (or wives) who give birth.
  • General Affairs Asset ㅡWorking closely with consultant on creating and deciding General Affairs assets approval flow and creating new SOP.
  • Manage all vendors under GA from their contract, service and goods delivery, invoice payment as well as overseeing their performance.

Requirements :

  • Minimum bachelor’s degree in a related position
  • 5 – 7 years of progressive experience performing a variety of office, administrative, and customer service tasks.
  • Able to effectively manage processes and analyze information.
  • Familiar to work with Microsoft Office applications: Word, Excel, PowerPoint.
  • Good English skill (verbal & written) is a must.
  • Able to manage time and handle multiple tasks.
  • Able to work independently/with less supervision.
  • Willing to work extra hours to complete the work.
